Terms of service
The agreement between you and Journima. Short sections, plain words, and the same rules for everyone on the same plan.

1. Who these terms are between
These terms are an agreement between you and Journima, Prague, Czech Republic ("Journima", "we"). They cover the website at journima.com and the product at app.journima.com, together "the service".
You accept these terms when you create an account, accept an invitation to a workspace, or use the service. If you do so on behalf of an organisation, you confirm that you may bind it, and "you" means that organisation. Journima is a tool for professional use. You must be at least 18 and not a consumer in the sense of consumer protection law.
2. Accounts and workspaces
You need an account to use the product. Keep your sign-in details to yourself and tell us at once if you think someone else has them. You are responsible for what happens under your account.
Work happens in workspaces. Each workspace has an owner and members with one of four roles: viewer, editor, admin or owner. The owner's organisation is our customer for that workspace and decides who is invited, which plan applies and whether AI features are on. Admins and owners are responsible for the people they invite.
3. Plans, trials and billing
Free plan. The Free plan costs nothing and stays free for as long as you use it, within the limits shown on the pricing page.
Trial. A new workspace starts on a 14-day Business trial, no card needed. One trial per person. When the trial ends, the workspace moves to the Free plan unless you subscribe: nothing is deleted, all but one editor become viewers, and anything above the Free limits stays but cannot be added to until you subscribe. If its owner already holds a Free workspace, the workspace is frozen instead: read-only until a subscription starts.
Paid plans. Team and Business are priced per editor, monthly or yearly, in euros and excluding VAT. Viewers are never billed. Payment is by card through Stripe. Adding an editor seat is charged pro rata and removing one is credited pro rata. On monthly billing the difference rides the next invoice; on yearly billing it is invoiced at once, and a credit stays on your account for future invoices. Yearly billing is two months cheaper than twelve monthly payments.
Changes and cancellation. Plan and billing-period changes and cancellation are made in the billing portal, which shows when a change takes effect and any prorated charge before you confirm. Cancelling takes effect at the end of the current billing period. We do not refund part of a period already paid for, except where the law requires it.
Failed payment. If a payment fails, Stripe retries the charge and we let you know. Nothing changes in the workspace while it retries. If the subscription ends unpaid, the workspace moves to the Free plan as described for the end of a trial, or is frozen where no Free slot is available. Nothing is deleted either way.
Price changes. We may change prices with at least 30 days' notice by email. A new price applies from your next renewal after the notice period. If you disagree, you can cancel before it applies.
4. Your content
Everything you or your members put into a workspace is your content: maps, personas, comments, images, transcripts, metrics and the rest. You own it. You give us a licence to store, process, display and transmit it only as needed to provide the service to you, including to render exports and public share links you create.
You are responsible for your content. You confirm that you have the rights to upload it and, where it contains personal data such as interview transcripts, that you may process that data and have a lawful basis for it. For such data your organisation is the controller and we are the processor. Our data processing agreement forms part of these terms and governs that processing; the privacy policy explains the split.
We never use your content to train machine learning models, and neither do the providers we use for AI features.
Share links you create are public to anyone who has the link and the password, if you set one. You control their expiry and can revoke them at any time.
5. AI features
Some features propose content: candidate insights from a transcript, or a first draft of a map from a description. These are proposals produced by a language model. They may be wrong, incomplete or oddly phrased. A person on your team decides what is accepted, and nothing reaches a map without that decision. Do not rely on AI output as fact or as professional advice.
AI features come with a quota per plan, shown on the pricing page, which does not roll over. An admin can switch them off for a workspace, and we may switch them off globally if a provider fails or misbehaves. The rest of the service keeps working without them.
6. Acceptable use
Do not use the service to store or share content that is unlawful, infringes someone else's rights or contains malware. Do not upload personal data you are not allowed to process. Do not try to gain access to other people's workspaces, probe or overload our systems, work around plan limits, scrape the service, or reverse engineer it beyond what the law allows. Do not resell the service or offer it to third parties as your own.
If you breach these rules we may suspend the account or workspace involved. We tell you first where that is reasonable, and always tell you afterwards.
7. Availability and support
We work hard to keep the service available and fast, and we announce planned maintenance where we can. We do not promise uninterrupted availability or a specific uptime. Support is by email at hello@journima.com; answers to common questions are in the help center. Business workspaces get priority support.
We keep improving the service. Features may change, and we may retire one with reasonable notice. We will not remove your ability to export your content.
8. Data protection and security
How we process personal data on your behalf is set out in the data processing agreement, how we handle your account data in the privacy policy, and how we host, encrypt and back up the service in the trust center. All three are part of this agreement. If you find a security problem, write to security@journima.com.
9. Our intellectual property
The service, its software, design, templates and the Journima name and logo belong to us or our licensors. These terms give you the right to use the service; they do not transfer any of this to you. If you send us ideas or feedback, we may use them without owing you anything.
10. Confidentiality
Each of us keeps the other's non-public information confidential and uses it only for this agreement. For us, that includes everything in your workspaces. The duty does not cover information that is public, already known, independently developed, or that a court or authority requires us to disclose.
11. Ending the agreement
You can stop using the service at any time. Cancelling a paid plan takes effect at the end of the billing period; an owner can delete a workspace at any time, and you can ask us to delete your account. Export your content first: vector PDF and PNG for maps, CSV for the portfolio, and a full workspace export in open formats on request.
We may end the agreement or a workspace if you materially breach these terms and do not fix the breach within 14 days of our notice, or immediately for serious abuse. We may also close Free workspaces that have been unused for more than twelve months, after emailing the owner 30 days in advance.
When a workspace is deleted, its records are deleted immediately, its stored files are cleared afterwards, and everything ages out of backups as described in the privacy policy.
12. Warranties and liability
We provide the service with care, but as it is. We do not warrant that it fits a particular purpose, that it is free of errors, or that AI output is accurate. To the extent the law allows, we are not liable for indirect or consequential loss, lost profit, lost data that you could have exported, or business interruption.
Our total liability to you under this agreement in any twelve-month period is limited to the fees you paid us in the twelve months before the event giving rise to the claim. For the Free plan and trials it is limited to EUR 100. None of this limits liability that cannot be limited by law, including liability for intent or gross negligence, or for death or personal injury.
You will compensate us for third-party claims that arise from your content or from your breach of these terms.
13. Changes to these terms
We may change these terms. For changes that affect your rights or obligations we give at least 30 days' notice by email to account holders. If you do not agree, cancel before the change takes effect; continued use after that date means you accept it. Changes to the law, or corrections that do not reduce your rights, may take effect immediately.
14. Governing law and disputes
This agreement is governed by the law of the Czech Republic, excluding its conflict-of-law rules and the UN Convention on Contracts for the International Sale of Goods. Disputes go to the courts of Prague, Czech Republic. Talk to us first; most things are settled by email.
If part of these terms turns out to be invalid, the rest stays in force. These terms, the data processing agreement, the privacy policy and the trust center are the whole agreement between us.
